Privacy Policy 

Date of Policy - 1st July 2022

I, Kate Lusty, am committed to protecting and respecting the privacy of all my customers. Personal data is information which relates to a living person who can be identified from that information. Data may contain both personal and sensitive data and therefore all information will be protected accordingly.

It will be required for me to collate personal data from customers and potential customers, to be able to arrange and carry out contracted services, as agreed when booking a ceremony.

Consent and explicit approval to collect, hold and process personal and sensitive data will be obtained at the point of booking.

Personal data will only be used as necessary to carry out the instructions under a customer's ceremony booking, including creating invoices, arranging payment and providing receipts for payments.

All necessary measures have been taken to safeguard personal data within my possession, against unauthorised access, unlawful or accidental destruction or accidental loss.

Personal data will be store electronically on password protected equipment and anything printed will be protected whilst in use (and remain in my possession only) and then destroyed as confidential waste when no longer required.

I will retain your data whilst I am arranging your ceremony and up to the date it has taken place, and also up to the point of receiving full payment.  Thereafter, unless otherwise agreed I may continue to hold some of your personal data for a further period of 6 years to ensure compliance with Company Law and HMRC reporting requirements.  Where there is no requirement to continue to hold your personal data I will destroy it confidentially.

You have the right to obtain confirmation that your personal data is being safely processed by me and what personal data is held.

You have the right to request confirmation of any data held, at any time and by any reasonable means (letter, telephone, e-mail), detailing the precise nature of your request so that there can be no misunderstanding and so I can fully understand your concern.

Within 7 days of receiving your request I will send you a written acknowledgement noting when you can expect to receive a response.

Within 30 days of your request I will provide you with the information that is held within my secured systems, commonly used and machine-readable (probably Word or Excel) format except where I have agreed with you that this would be impossible, or that it would involve undue expense, in which case it may make the information available to you to view on a screen.

If you believe that there is a problem with how I am collecting, holding and processing your personal data you have the right to complain.  Initially you should address your complaint to me, Kate Lusty at Time of Your Life Ceremonies.

I will respond to your complaint within 14 days.

Equality & Diversity Policy

Date of Policy - 1st July 2022

The purpose of this policy is to provide diversity and equality to all of my customers and potential customers, irrespective of their gender, sexuality, ethnic origin, disability, age, nationality, religion or belief, marital status and social class.

My services will be conducted within the boundaries determined by my professional organisation (Fellowship of Professional Celebrants) and also the Wedding Celebrancy Commission.

Whilst delivering my services I will ensure that all customers and industry colleagues are treated equally and with respect, promoting diversity and eliminating discrimination (as outlined in the Equality Act 2010).

Should you wish to make a complain at any time, please email me at the earliest opportunity so I can investigate and rectify any issues, but it will be my upmost objective to ensure that my actions, and those of third parties, are always of an acceptable and compliant nature.

 

Safeguarding Policy

Date of Policy - 1st July 2022

To ensure my own personal safety, I will request that our initial meetings are held in a public place, maybe a hotel, coffee shop, restaurant/bar, or if this is not convenient, I may request an accompanied visit to avoid attending your home alone.

Being a member of the Fellowship of Professional Celebrants requires me to confirm a Criminal Background check, to ensure I am safe to work without any safeguarding concerns. The Fellowship states the following: -

The Fellowship of Professional Celebrants believes in safeguarding all of our clients, and users of our website (www.professionalcelebrants.org.uk) and therefore, if there were to be any reports or received concerns relating to criminal behaviours of any member, either directly or indirectly relating to their work, this would be immediately reported to the police.

In addition, in is paramount that all children and vulnerable adults are provided with adequate safeguarding protection. If whilst conducting my services, I am made aware of, or experience any inappropriate behaviours towards these groups, I will report immediately to the relevant agencies.

 

Anti-Harassment Policy

Date of Policy - 1st July 2022

You may have seen the recent social media coverage of the harassment that some wedding suppliers have regularly experienced at weddings.  After a lot of thought I’ve decided it’s time to make it clear to my lovely clients that I will not tolerate harassment and inappropriate behaviour whilst I’m trying to do my job


It’s your responsibility to make sure your guests and other suppliers behave appropriately towards me on your wedding day. 

If I or anyone accompanying or shadowing me experience any inappropriate, threatening, hostile, or offensive behaviour* from any of your guests or any of your other suppliers on your wedding day, I’ll let you know in person on the day and ask you to make sure that behaviour stops immediately. I’m happy for you to nominate someone in your wedding party to take charge of this on the day (e.g. a member of the wedding party) so it isn’t brought to you directly.  

If the behaviour continues after I have raised an issue on the day, I reserve the right to leave the venue for my own or my colleagues protection/safety.  

This would be a last resort but I am entitled to work without harassment or other inappropriate behaviour. Sometimes the behaviour is so serious (eg sexual/physical assault) that continuing to work in the presence of that guest/supplier is not possible and simply stopping the behaviour would not be a sufficient response if they remain at the event. If the behaviour is so bad or doesn’t stop after a complaint and I feel obliged to leave the venue, I will not provide any refund for any reduced hours.

I’m asking clients to let their guests and other suppliers know about this anti-harassment policy ahead of the wedding so that people know in advance that you’re taking this matter seriously and harassment of any kind won’t be tolerated.

*Inappropriate/offensive behaviour includes any unwanted physical touching of any kind, verbal harassment includes unwanted personal questions, taking/using my equipment without consent and any behaviour which is inappropriate towards a person in a workplace.
